How do I use the Global Scheduler?

The Global Scheduler feature gives you the ability to apply, copy, and delete schedules for a selection of employees. You can also modify a schedule segments, transfer job code information to edit hours, and modify recurring schedules.  

Step by Step

  1. Log in to TimeClock Scheduler
  2. Choose Schedules > Global Scheduler
  3. Select the employee(s) that you want to make changes to
  4. Click Next
  5. Select the appropriate Schedule Operation and, if applicable, Section
  6. Click Next
  7. The next two windows are dependent on your previous choices. See the appropriate sub-section to finish.

 

Apply Schedules

  1. Select a Start Date by either entering in a day or clicking on the Calendar icon
  2. Next select Number of weeks by clicking the down arrow and selecting the number of weeks needed.
  3. Click Add on the day that you wish to create a schedule for
    1. Select the appropriate Segment type
    2. Enter the appropriate Time in and Time out
    3. If this is the first of two segments on the same say, you can specify a Break Type by clicking on the field to the left and Selecting the appropriate break type
    4. In Job Code field, select the appropriate Job Code to apply to the schedule, you can also choose to use the employees default job codeNote! The Job Code selected must be available to all employees specified.
    5. You may enter a description in the Description field
    6. The same segment can be added to multiple consecutive days by clicking the down arrow next to the Days field and selecting the number of consecutive days desired
    7. The Extra button will allow you to disable automatic deductions for this segment
  4. Click Save
  5. Click Add again on any and all other applicable days to add new segments
  6. When all segments and days have been added, click Next
  7. Review the Summary screen, if everything is correct, click Process
  8. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

 

Copy Schedules

  1. Select the Source date range by entering the dates or selecting the calendar icon
  2. If applicable, use the Job Code Filter to narrow down the number of Job Codes this will copy
  3. Select one of two choices
    • Linear copy – Copies source days to fill all the destination days (ex. source range Day to destination range Day1, Day2, Day3, etc.)
    • Day to day copy – Copies day of the week from the source range to corresponding day of the week in the destination range (ex. Monday to Monday)
    • If you want to override existing weeks with Blank data from the source range, check the Copy blank days box
  4. Select the options that are appropriate to your copy
  5. Click Next
  6. Select the Destination range by entering the dates or selecting the calendar icon
  7. Select the options that are appropriate to your copy
  8. Click Next
  9. Review the Summary screen, if everything is correct, click Process
  10. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

 

Delete Schedules

  1. Select the Delete schedules from by entering the dates or selecting the calendar icon
  2. If applicable, use the Job Code Filter to narrow down the number of Job Codes this will copy
  3. Select the options that are appropriate to your delete
  4. Click Next
  5. Review the Summary screen, if everything is correct, click Process
  6. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

 

Modify Schedule Segments

  1. Select the Source date range by entering the dates or selecting the calendar icon
  2. If applicable, use the Job Code Filter to narrow down the number of Job Codes this will copy
  3. Select the options that are appropriate to your modifications
  4. Click Next
  5. Review the Summary screen, if everything is correct, click Process
  6. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

 

Transfer job code information

  1. Select the Source date range by entering the dates or selecting the calendar icon
  2. If applicable, use the Job Code Filter to narrow down the number of Job Codes this will copy
  3. Select the options that are appropriate to this transfer
  4. Click Next
  5. Review the Summary screen, if everything is correct, click Process
  6. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

 

Recurring Schedule

Assign recurring schedule

  1. Select the Recurring schedule you would like to assign to employees
  2. Click Next
  3. If applicable, check the Override Role box
  4. Select the Active Period that this schedule will apply to
  5. Click Next
  6. Review the Summary screen, if everything is correct, click Process
  7. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

Unassign recurring schedule

  1. Select the Recurring schedule you would like to remove from employees
  2. Click Next
  3. If applicable, check the Override Role box
  4. Select the Active Period that this schedule will apply to
  5. Click Next
  6. Review the Summary screen, if everything is correct, click Process
  7. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice

Reset employee overrides

  1. Select the appropriate Destination range for this override
  2. Click Next
  3. Review the Summary screen, if everything is correct, click Process
  4. Click Ok to finish.NOTE! Once the operation is complete, navigate to another screen to prevent entering the segments twice
